Job Title: Business Manager

Reports to: Pastor/Parochial Administrator

Location: St. Thomas More Parish, Pottstown PA 19465

Part Time, Non-Exempt (Monday, Tuesday, & Thursday 9 – 3)

      (It should be no more than 18 hours per week)

 

Objective: The Business Manager role is to be responsible for the efficient operation of the parish business affairs, including accounting, reporting, budgeting, and personnel.

Qualifications Requirements:

  • Bachelor’s degree in accounting or appropriate field.
  • 5-7 years' experience working in business or accounting field.
  • Proficient in Microsoft Office Excel and QuickBooks; experience with Parish Data Systems.
  • Excellent communicator with strong organization skills and attention to detail.
  • Energetic, creative, and hands-on, with a collaborative attitude and ability to multi-task with ease
  • Ability to relate effectively and positively with colleagues, volunteers, parishioners, and vendors.
  • High level of integrity and confidentiality.
  • Strong commitment to the Catholic faith and the mission of the parish.
  • Must obtain necessary FBI Fingerprint, PA Criminal, and PA Child Abuse Clearances.

Responsibilities:

  • Record and manage all financial activity in QuickBooks
  • Review all invoices prior to payment for reasonableness and accuracy.  Submit invoice/checks to the Pastor for approval/signature. 
  • Manage all accounts payable vendors and monthly Archdiocesan assessments.
  • Enter in the Payroll Provider system all employees and 1099 recipient’s payroll on a bi-weekly basis
  • Make bi-weekly Journal entries to QuickBooks for employees and 1099 recipient’s payroll and 403B data.
  • Monitor and reconcile all bank accounts monthly.
  • Ensure timely remittal of diocesan and extra-diocesan collections.
  • Reconcile contributions recorded in Parish Data Systems to QuickBooks.
  • Make weekly bank deposits for parishioner cash contributions and submit check deposits electronically using Key Navigator.
  • Prepare work papers and provide requested documentation for all financial audits.
  • Attend quarterly offsite Archdiocesan Business Manager's meetings as needed.
  • Prepare yearly and/or quarterly Archdiocesan Parish Financial Reports.
  • Prepare and monitor annual budget.
  • Prepare financial packet for Parish Finance Council meetings, ensure minutes are taken by a council member.
  • Upload quarterly building inspections of property that are performed by maintenance personnel into Quadra system.
  • Assist Pastor in completing Annual Pastoral Report.
  • Prepare and maintain all personnel records, including onboarding of new employees.
  • Update and maintain personnel changes and enrollments.
  • Prepare and file all paperwork related to unemployment compensation, employee separation, worker's compensation, PA Catholic Conference, etc.
  • File 1099/1096 NEC forms with the IRS for any individual that is paid over $600 (Individual vendors use SS #) including priest’s honoraria for Mass coverage or other paid services by IRS deadline.
  • Examine all vendor and contractor contracts and monitor parish purchases.
  • Serve as the point person for all questions relating to parish funds.
  • Reconcile paid Mass Intentions to Mass Account Bank Balance.
  • Administer Monthly Stipend checks for Mass accounts, Baptisms, Weddings, & Funerals.
  • Verify Special Diocesan Collection totals match to QuickBooks totals prior to sending checks to Archdiocese.
