Director of Parish Services: Job Description and Expectations

  • Required Characteristics
    • This part-time position requires a committed and practicing Catholic. A “practicing Catholic” is one who participates in the life of the Church by attending Mass on Sunday and Holy Days of Obligation, by receiving the Sacraments of Reconciliation and Holy Eucharist, and by living a life that is in conformity with the moral and ethical teachings of the Church. Anyone who is in a teaching position or position of Parish visibility is bound by Catholic Doctrine.
    • The Director of Parish Services is a relationship builder, inviting, connecting, and supporting the many parishioners who invest their time, talent, and treasure in the life of the parish. Working closely with the Pastor and the rest of the Pastoral Team, the Director of Parish Services will look for opportunities across the life of the parish to help parishioners take their next step in discipleship and deepen their involvement in the community.
    • The Director of Parish Services will have a mix of responsibilities requiring both a highly strategic and pastoral mindset, as well as a strong project management skillset to serve well within a dynamic environment.
    • The Director of Parish Services must be self-motivated, service-oriented, and be able to model joy-filled discipleship.
  • Specific Responsibilities
    • Volunteer Leadership: Build and maintain the community of active volunteers that serve St. Patrick Parish. This includes scheduling ministry group meetings, being the point of contact between ministries and the parish staff/Pastor, and directing people interested in joining a ministry to the appropriate leader.
    • Service Outreach: Coordinate and oversee all ongoing and seasonal parish service projects throughout the year. This includes but is not limited to homebound visitation, Thanksgiving food drive, Christmas gift drives, MLK day of service, Easter outreach, and Summer school supply drive. Regular communication and assessment of needs from the various agencies St. Patrick’s supports is necessary, as well as coordination of the volunteers who collect, sort, package, and deliver to the agencies.
    • Team Leadership: Support and supervise members of the Pastoral Staff to provide the proper guidance and coordination among parish initiatives. This includes creating the agenda for and leading staff meetings, as well as parish communications via Flocknote emails and announcements made at Mass.
    • Event Support: Work with Office Manager in coordinating the calendar for the parish to ensure that volunteers planning events have the necessary support from the parish and that all the gathering spaces on campus are effectively and efficiently utilized. This includes leading the development and maintenance of an annual event calendar with the School and Parish Staff. Fellowship events such as the annual Phillies tailgate night and St. Patrick’s Day Potluck are the responsibility of the Director of Parish Services.
    • Safe Environment Coordinator: The responsibilities of the Safe Environment Coordinator include the oversight of the Archdiocese’s background check policy to ensure that all employees and volunteers of St. Patrick church and school have been checked and found eligible. This person is also to make sure that all employees and volunteers complete updates as necessary every five years. Frequent communication with volunteers and employees is required, as well as helping those going through the process of obtaining different background checks and training. The coordinator must also oversee scheduling, set up, and clean up from in-person safe environment trainings hosted at St. Patrick’s.
  • Knowledge, Skills, and Abilities
    • Knowledge of Microsoft Office and general computer skills, including database software
    • Excellent oral and written communication. Pleasant interpersonal skills, including a helpful attitude toward parishioners, visitors, and staff
    • Ability to meet deadlines, troubleshoot, and multitask
    • Ability to maintain confidentiality
    • Must excel in leadership skills, strategic and pastoral thinking while managing various parish programs and events
  • Other Requirements
    • Must be a practicing Catholic in good standing
    • College diploma, plus knowledge of the parish/parishioners.
    • Must work well with Pastor, Parish Clergy, and Staff in a collaborative mindset
    • Willingness to assist in other areas as needed (e.g., Answer the telephone and door when the receptionist is not available; assist in some clerical tasks if the need arises; etc.).
