Job Description
Summary
The Director of Parish Operations/Business Manager supports the Pastor and Parish Staff by overseeing the parish’s physical and financial resources, ensuring that all administrative functions and ministries operate efficiently. The Director is a committed person of faith who upholds Gospel values and responsible stewardship. The Director reports to the Pastor. The Director will coordinate the Business and Financial Management aspects of the Parish Offices, working with the Pastor, the Office Manager, and Director of Maintenance in specific tasks.
Normal Workdays/Hours
This is a 12-month, full-time position. The Parish Office is open from 8:30 A.M. until 4:00 P.M. (1 hour for lunch) from Monday through Friday. Occasionally, it will be necessary to work in the evening for meetings (Parish Pastoral Council – if necessary; Parish Finance Council). Workdays and hours are flexible.
Principal Duties and Responsibilities
*Manage all parish accounts
*Finance Council: reporting, coordinate periodic meetings, prepare agenda and maintain minutes
*Preparing Annual Budgets for Parish and School
*Personnel and Human Resources Compliance, hiring, onboarding new employees, exit process for resigning employees, maintaining employees’ files
*Collect employees’ time sheets
*Work with the Pastor in evaluating job responsibilities of staff to increase efficiency
*Attend Business Managers meetings and sessions as required by the Archdiocese of Philadelphia
*Analyze contracts, vendors, subscriptions, recommending greater efficiency when needed, evaluation of unused or obsolete resources, etc.
*Management of campus facilities and parish projects (compliance with insurance requirements, Quadra, etc.) in cooperation with the Pastor and Director of Maintenance
*IT & Security Systems Management
*Other duties as assigned
Knowledge, Skills, and Abilities
*Requires significant coordination with Parish Clergy and other Parish Staff, participation in staff planning and operational meetings.
*Must be comfortable interacting with various vendors and Parish Councils and Committees as needed.
*Must have a high level of sensitivity to the confidential nature of parish information.
*In cooperation with the Pastor, will evaluate the job responsibilities of staff to ensure greater efficiency.
Requirements
*Experience with fiscal planning and management; must have accounting/financial background and proficiency in management of accounts, payroll, etc.
* Oversee HR issues (time sheets, benefits, health, dental, FMLA, sick leave, workers’ compensation, etc.).
*Competence in computer skills and ability to learn custom church software.
*Ability to work collaboratively with Pastor, Parish Clergy, Office and School Staff, Principal, Director of Religious Education, and Office Manager.
*Willingness to attend meetings hosted by the Archdiocese of Philadelphia Office for Parish Support and Services.
*Willingness to assist the Pastor and other staff members when need arises.
