Job Description

 

The Parish Office Manager is a full-time salaried position that works to assist and relieve the Pastor/Parochial Administrator of the Parish of the administrative details of Parish operations.

 

Key Responsibility Areas

  • Parish Office Daily Operations
    • Assist with the Parish Office telephone, written (postal mail) and email correspondence
    • Manage the Parish Office, including receptionists, as well as requests for parishioner services including processing Mass intentions, eligibility letters, answering parishioner correspondence, etc.
    • Create and maintain the annual Parish Master Calendar
    • Maintain the parish database system along with good parish communication methods including (but not limited to): email messages, the “Flocknote” account, website, and social media accounts (ie: Facebook)
  • Administrative Assistant to the Pastor
    • Prepare a folder of invoices, statements, and other documents for the Pastor to review and approve twice a week
    • Send necessary financial documentation to the Bookkeeper/Bookkeeping Service for processing
    • Prepare correspondence to be reviewed and signed by the Pastor, as well as requests for the Pastor’s attention or attendance
    • Assist the Pastor with vendor relations
  • Volunteer Coordination
    • Maintain the Safe Environment database of clearances for all parish volunteers
    • Oversee the Sunday Collection Counting Teams
    • Ensure that Ministry schedules are up to date

 

 

 

Required Abilities, Education, and Experience

  • Business Administration, Finance or Accounting Degree is preferred, but not necessary
  • Minimum of three years’ work experience in business or management is a plus
  • A practicing Catholic in good standing and willing to function in a manner consistent with the mission of the Catholic Church
  • Possess excellent interpersonal communication (listening and speaking), written skills (drafting, proofreading, and editing), and supervisory skills
  • Display a professional and friendly persona
  • Ability to maintain confidentiality and help cultivate a culture of trust
  • Prioritize workflow, display flexibility, and use considerable independent judgment
  • Convey knowledge of (and/or willing to learn) Ecclesiastical (Catholic Church) related accounting principles and practices, especially with regard to the Archdiocese of Philadelphia
  • Proficiency in Microsoft Office Suite, particularly Word and Excel, as well as QuickBooks
  • Successful completion of all required personal background checks and legally mandated trainings

 

Other Qualifications

 

Compensation Information

  • The position requires an in-person physical presence during normal Parish Office hours, however due consideration will be given any necessary evening and weekend expectations including Parish Meetings and events that require a presence.
  • Compensation will be commensurate on experience but will be based upon a typical 40-hour work week. However, the hourly requirement is inclusive of any necessary evening and weekend tasks.
